Obsidian iCloud Sync: Complete iOS Setup, Fixes, and Faster Capture

Learn how to correctly configure Obsidian iCloud sync, resolve stuck syncing errors, prevent data corruption, and use the iOS 18 Keep Downloaded feature.

Obsidian iCloud Sync: Complete iOS Setup, Fixes, and Faster Capture

Using iCloud is one of the most popular ways to keep your Obsidian vaults seamlessly synced between your Mac and iPhone without paying a premium. When it works, it feels like magic.

But when it doesn’t, it is incredibly frustrating. You will find yourself staring at a blank screen for 15 seconds while your vault struggles to fetch files, or worse, facing a vault that isn’t detected by your mobile device at all.

This practical guide covers the exact steps to configure a stable iCloud sync, the absolute “do not cross” rules to prevent note corruption, and how to use modern iOS 18 features to stop sync stalls permanently.

(Note: If you are looking for a complete guide on general mobile performance optimization, read our full troubleshooting guide on Obsidian mobile startup lag here).

The Golden Rules of Obsidian iCloud Sync

Before diving into configuration, you must understand two structural limitations to ensure your data stays safe.

Rule 1: Never Mix iCloud and Obsidian Sync

Official Obsidian guidelines strongly warn against running multiple active sync engines on the same vault. If you enable both iCloud Drive and official Obsidian Sync simultaneously, they will fight over file state writes. This creates an infinite sync loop that drops duplicate conflict files across your entire .obsidian configuration folder and can corrupt your vault data. Pick one sync framework and stick to it.

Rule 2: Sync is Not a Backup Strategy

Syncing ensures that changes on your Mac reflect on your iPhone instantly. It does not protect your data if you accidentally delete a line of text or run an unstable community plugin that wipes a note. Always pair your iCloud vault with an external version control setup on desktop, such as Git or an automated local backup folder.

The Correct Order of Operations: Starting on iOS

If your vault isn’t being detected on your iPhone, you likely fell into the most common setup trap: creating the folder on your Mac and blindly dragging it into iCloud. Because iOS operates within strict application sandboxes, Obsidian Mobile needs to generate its native directory first.

If you are setting up your sync from scratch, follow this specific sequence:

  1. Download and open Obsidian on your iPhone or iPad.
  2. Tap Create new vault.
  3. Name your vault, and ensure the Store in iCloud toggle is explicitly turned ON.
  4. Tap Create.

This forces iOS to build a dedicated, system-recognized sandbox container. Now, open your Mac, navigate to iCloud Drive → Obsidian, locate the folder you just generated, and safely paste your existing desktop markdown notes into that specific directory.

How to Fix Stuck or Slow iCloud Sync Stalls

If your notes are already synced but you routinely run into freezing issues or empty file screens on mobile, your iPhone is struggling with aggressive storage optimization. When local storage gets tight, iOS silently offloads local files to the cloud. When you launch Obsidian, the app stalls while waiting for the iCloud daemon to pull those assets back down.

The iOS 18 Permanent Fix: “Keep Downloaded”

In iOS 18, Apple added a hidden toggle to the native Files app that permanently locks folder paths to local storage:

  1. Completely close Obsidian on your iPhone.
  2. Open the native Apple Files app.
  3. Go to iCloud Drive and find the main Obsidian folder container.
  4. Long-press the folder that holds your vault.
  5. Select Keep Downloaded from the pop-up context menu.

This forces iOS to download every markdown note, attachment asset, and plugin configuration file, and legally immunizes them from background optimization.

Ensure Parity for the .obsidian Environment

For community plugins and themes to sync correctly, they must push their background files cleanly through iCloud. Ensure these two background options remain active:

  • Enable Background App Refresh: Go to iOS Settings → General → Background App Refresh and verify it is turned ON globally, and toggled on for both Obsidian and Files.
  • Toggle iCloud Sync Off and On: If your sync becomes permanently stuck, go to your Apple ID iCloud settings, turn off iCloud Drive access for Obsidian, restart your iPhone, and toggle it back on to flush the local synchronization cache.

Accelerating Your Workflow When Sync is Lagging

Locking your vault folder locally via the iOS 18 Files app stops iCloud from abandoning your notes in the cloud, but it cannot change how the main Obsidian application behaves. Because Obsidian has to index and parse your backlinks every single time it boots up, you will still experience a brief initialization window when clicking a cold notification.

If you are out on the move and need to quickly log a task, waiting for a sync cycle to settle before typing introduces too much friction.

Quick Capture for Obsidian is an iOS companion app designed specifically to eliminate mobile capture latency.

Instead of waiting for the main Obsidian app interface to launch and cycle through its environment index, Quick Capture writes your thoughts straight to the underlying markdown files in your local storage.

  • Bypass the Startup Screen: Trigger captures instantly from an iOS 18 Control Center widget, Lock Screen action button, or Siri command.
  • Conflict Isolation: By appending text directly to your markdown documents at the file-system level, it bypasses the application runtime entirely, allowing the native iCloud system to sync changes seamlessly in the background without freezing your screen.
  • Granular Landing Targets: Cleanly route text entries, audio transcriptions, and image assets directly to specific files, active Daily Notes, or under explicit markdown headings without opening a single vault tab.

By establishing your primary sync via iCloud and pairing it with a streamlined mobile utility like Quick Capture, you get the absolute best of both worlds: a completely free desktop backup network and an instantaneous, frictionless capture pipeline on your phone.
